ERP implementation checklist: preparing your organisation for the cloud
Operational methodology • 9 min read
Transitioning to a cloud-based enterprise resource planning system is an operational milestone. A successful implementation relies on thorough preparation before migrating data.
Phase 1: Operational Scoping & Module Selection
- [ ]Identify Core Operational Pillars: Determine whether your immediate priority is Financial Management, Supply Chain & Inventory, Procurement & Sales, or Human Capital & Projects.
- [ ]Appoint Departmental Champions: Assign one lead from finance, warehouse operations, procurement, and projects to guide workflow mapping.
- [ ]Document Approval Hierarchies: Define transaction limits for purchase orders and invoice authorizations.
Phase 2: Data Hygiene & Cleansing
- [ ]Cleanse the General Ledger: Audit your chart of accounts, archive obsolete codes, and reconcile opening account balances.
- [ ]Audit Inventory SKUs: Conduct physical stock counts, remove discontinued items, and confirm reorder threshold quantities.
- [ ]Harmonise Vendor and Customer Records: Eliminate duplicated supplier contacts, confirm payment terms, and verify billing addresses.
Phase 3: Role-Based Access & Permissions
- [ ]Map User Roles: Assign granular permissions so employees access only the operational modules necessary for their daily roles.
- [ ]Establish Security Hygiene: Mandate robust password standards and verify browser access policies.
Phase 4: Structured Testing & Go-Live
- [ ]Execute an End-to-End Test Cycle: Run a complete simulated workflow: create a purchase order, receive inventory, generate a customer invoice, and verify ledger balance.
- [ ]Plan Cutover Timing: Schedule your cutover at a natural accounting boundary (such as month-end) to ensure clean baseline balances.
